New Covenant International University
A custom student information system for progress, transcripts, awards, and billing across campuses and sister institutions.
Overview
Seamless built a custom student information system for New Covenant International University. Staff use it to follow a student through programs, courses, transfer credit, awards, and billing, including when that work spans more than one campus or a sister institution.
Challenge
Student progress, transcripts, awards, and billing are hard to follow when a student moves across programs, campuses, and sister institutions. Advisors need a current view of that progress. Registrars need to add courses without giving every staff member the same access to the record.
Solution
The system is a custom student information system that tracks student progress, transcripts, awards, and billing across multiple campuses and sister institutions. Granular role-based permissions let advisors track student progress and let registrars build new courses.
Key features
The student record brings the daily tools onto one screen.
- Program tracking with current GPA, grade, remaining credits, and total credits.
- Course rows with status, grade, and credits.
- Transfer credits from recognized prior learning, with the organization and the year completed.
- Transcript actions: add transcripts, add a transfer, and print transcripts.
- Mentor assignment and enrollment date on the record.
- Ordination tracking.
- Tabs for courses, awards, and billing.
- Add a course, and change the student's program.
Roles and permissions
Access is granular and assigned by role. Advisors can track student progress. Registrars can build new courses. Each role gets the tools for that work, so changes to a record stay with the people responsible for them.
Outcome
Advisors and registrars work from the same student record. The record shows the programs a student is in, course status, transfer credit from prior learning, and the way into awards and billing. The permission model lets advisors follow progress and lets registrars build courses, across campuses and sister institutions.
